In-Year Applications
What are In Year Admissions?
You can make an in-year application if your child needs to join a school outside of the normal admissions round - for example, if you move house and your child can no longer attend their current school.
If you are interested in making an in-year application you are more than welcome to join our open mornings in the Autumn Term. Alternatively, if you are looking later on, please contact the School Office (info@stcuthberts.surrey.sch.uk) to discuss times for a tour of the school.
How Parents can Apply for a School Place
If you want to apply for an in-year admission to St Cuthbert's Catholic Primary School, you need to complete:
1. School Managed Application for In Year admission to a school (SMA) – Application Form
The SMA application form can be found by clicking here;
You MUST return the SMA application form to the school at: Admissions, St Cuthbert's Catholic Primary School, Bagshot Road, Englefield Green, Surrey TW20 0RY or by email to admissions@stcuthberts.surrey.sch.uk
Guidance notes to help you complete the SMA application form are available by clicking here
2. School's Supplementary Information Form (SIF)
The SIF can be found below. Please ensure you select the correct form relevant to the admissions year.
You MUST return the SIF the school at: Admissions, St Cuthbert's Catholic Primary School, Bagshot Road, Englefield Green, Surrey TW20 0RY or by email to admissions@stcuthberts.surrey.sch.uk
Who processes your application?
The governing body is the admissions authority for St Cuthbert's and has responsibility for admissions to the school, including setting the priority of admissions when the school is oversubscribed. St Cuthbert's will consider whether it has any vacancies and if so, assess whether it is able to offer a place. The school will contact you to let you know the outcome of your application.
When will parents be notified of the outcome of their application?
Upon receipt of an In Year application, the school will aim to notify parents of the outcome of the application in writing within 10 school days. However, it might take up to 15 school days. You must respond to any offer of a place within two weeks.
The right to appeal
If you are refused a place at any school you applied for, you have the right to make an appeal to an independent appeal panel. Where an application is refused, the school will set out the reason for refusal.
For applications for In Year Admissions, appeals must be heard within 30 school days of the appeal being lodged. If parents wish to appeal, they must set out the grounds for appeal in writing.
Other Information
Where an applicant is offered a school place following an in-year application, and the offer is accepted, arrangements should be made for the child to start school as soon as possible, particularly where the child is out of school.
If your child is not offered a place, you can add their name to a waiting list. Waiting lists are ranked according to each school’s admission criteria. Your child’s position on a waiting list may go down as well as up, for example, if other children with greater priority according to the school’s admission criteria are added to the list.
Important information on policies and procedures
Please note, determined admissions arrangements must be displayed on a school's website for the whole offer year (the school year in which offers for places are made) as it will apply to in-year applications. Therefore, please be sure to refer to the correct Admissions Policy and Supplementary Information Form.
The Admissions Policy outlines the oversubscription criteria, according to which applicants are ranked and subsequently offered a place. This applies to both, normal round application and in-year applications. In the Supplementary Information Form (SIF) you are able to express a preference for a place at the school in connection to one of the faith criteria. We therefore strongly recommend that both forms (CAF OR SMA) AND Supplementary Information Form are completed and returned by the deadline.
If you do not complete and return the SIF to the school together with all supporting documents by the closing date, your child may not be placed in the appropriate faith criterion. This is likely to affect your child’s chance of being offered a place.
Information on Parish Boundaries can be found here.
Waiting Lists
If a place is not offered because of over-subscription, the child’s name will be placed on a waiting list. The list will be in the descending hierarchical order of the categories in the admissions criteria. The list will continue for the year group until the end of the academic year. If a place is offered and declined the child’s name will be removed from the waiting list.
Parents/carers who wish their child’s name to remain on a waiting list beyond this time are requested to contact the school in writing by the end of July 2023 and complete the In-Year application form (See paragraph above).
The School also holds a waiting list for In-Year Applications should we be unable to offer at the time of application. Please note that all waiting lists are updated at the end of each academic year and should parents/carers wish their child to remain on the waiting list for the following academic year, a new application form will need to be completed and submitted by the end of July each year. If the application is not renewed, the child's name will be removed from the waiting list.
It should be noted that no matter how long a child’s name has been on the waiting list, his or her position on the list may change if the school adds a child’s name to the list, which has a higher priority according to the oversubscription criteria.
Appeals resulting from in year admission applications will be heard within 30 school days of the appeal being lodged.
